Certification Expense Reimbursement Policy

Purpose of the Policy

To support full-time permanent employees in pursuing industry-recognized certifications relevant to their roles.

Certification Alignment: Certifications must directly contribute to current job functions, ongoing projects, or strategic business initiatives.

Employment Status

Must be a full-time permanent employee.

Relevance

Certification must be relevant to: - Current role or responsibilities- Current or upcoming projects- Strategic areas. 

Performance

Consistent satisfactory performance as determined by the employee’s appraisal history.

Pre-approval

Written approval is required prior to enrollment or payment from the Department Head 

Reimbursement Coverage and Limits

Maximum Reimbursement

Up to PKR 50,000 per employee per calendar year.

Eligible Expenses

Only the Certification exam fees for the passed certification

Currency & Payment

All reimbursements will be processed in PKR based on actual expenditure.

Documentation

Original receipts or official payment confirmations must be submitted for all claimed expenses.

Reimbursement Process

Step 1: Pre-Exam Approval
    • Identify a relevant certification aligned with your role or department goals.
    • Get the email approval from your Department Head 

 Important: Do not enroll or make any payments until you have received all written approvals.

Step 2: Certification Completion
    • Complete and pass the certification exam.
Step 3: Submit Reimbursement Claim
    • Within 30 days of passing the exam:
      → Submit the “Certification Expense Reimbursement Claim” to HR via Paypeople Expense Request option
      → Attach the official certificate and original payment receipts/invoices.
Step 4: Verification & Payment
    • HR will verify all documents and approvals.
    • The approved amount will be reimbursed in the next available payroll cycle.

Repayment Conditions Upon Separation

Employee Leaves Within

0–6 Months

100% of reimbursed amount

6–12 Months

50% of reimbursed amount

After 12 Months

No repayment required

Repayment Process

Deductions will be made from the employee’s final salary or full and final settlement. In cases where dues are insufficient, the balance must be paid within 30 days.

Note: Repayment applies in cases of voluntary resignation or termination, except where termination is due to organizational restructuring or redundancy.

Policy Review and Modifications

Axiom World Pvt Ltd reserves the right to review, modify, or withdraw this policy at its sole discretion. Employees will be notified of any significant changes in a timely manner.
